Connecting a Square Account and Terminal

All-Star Rec Manager uses Square for all credit and debit card processing. To begin processing credit/debit card transactions online, you will need to connect a valid Square account to All-Star Rec Manager. This tutorial explains how to do this.


Connect a Square Account

  1. Use an existing Square account or set up a new Square account for your organization. Note: the entire Square set up process must be complete to process payments, including verification of your business.

  2. Navigate to the Preferences page and open the General tab. Open the Payment Processor - Square section. Toggle the Accept Square Payments switch to ON. Fill in the rest of the fields and click the Save button.

  3. You will receive an email from Square with a button you'll need to click. After clicking it, you will arrive on Square's website. Ensure you are signed in to the Square account you want to connect to All-Star Rec Manager. Click the button to accept the connection and then you will be redirected a page on All-Star Rec Manager that will give you the status of the connection, which will most likely be a successful connection.

  4. At this point, you will be able to accept card payments online.


Processing Transactions Online

With your Square account connected, you will now be able to process transactions online for form submissions, tickets, memberships, and on the general payment page.


Processing Transactions In-Person

The Point of Sale page allows you to process transactions in-person, both through a Square terminal and manual entry. See the article on the Point of Sale page for additional information on using this page.


Square Terminal

A Square terminal can be used to tap, insert, or swipe a card, receive a signature, and print a receipt. This link will take you to Square's website to see the terminal, but you can also purchase it from other vendors such as Amazon or Best Buy.


To use the Square terminal, you must first connect it to the internet either through Wifi or by purchasing a Hub for Square Terminal to use a wired connection. Once connected to the internet, you must pair it with your account on All-Star Rec Manager.


Note: Square terminals cannot connect wirelessly to networks with a banner popup such as a checkbox requiring you to agree to certain terms to use the Wifi. To connect to these types of networks, you will need to use a wired connection.


Connecting a Square Terminal

Once you have connected your Square terminal to the internet, you will need to pair it with your organization's account on All-Star Rec Manager. Navigate to the Point-of-Sale page and click the Devices option from the Quick Links menu. A popup will appear with a table of paired devices. Click the Add New button above the table to pair a new device. After you've added the device, the table will show you a pairing code for the device. On the Square terminal, you will now need to enter this code to sync it.


Note: The pairing process must take place within 5 minutes of you receiving the pairing code or else you will need to remove that device and add a new one.

Deposits

Once a payment is captured, it is immediately deposited into the organization's Square account minus the fees. If you have set up Square to automatically make deposits from the organization's Square account to the organization's bank account, the cut off time for transactions being deposited the next day is 5pm PT.
