Financials - Invoices

The invoices tab on the Financials page allows organizations to create invoices containing outstanding receivables for participants or payees. All functionality for this tool is accessible by being on the Invoice tab of the Financials page.


Table Filters

The invoices table comes with a dates filter which allows the user to select the date range they want to view.


Invoice Fields

  • Invoice Number: Custom invoice number. Automatically set to the next available number.

  • Date: Invoice date.

  • Participant: Invoice participant. Either participant or payee must be selected.

  • Payee: Invoice payee. Either participant or payee must be selected.

  • Line Item Filter: Use the date filter to filter the receivable and revenue items by date range.

  • Receivables: Receivable records to include in the invoice.

  • Revenue: Revenue records to include in the invoice.


Note: Once an invoice has been created, you cannot add or remove receivable or revenue items from the invoice.


Viewing, Downloading, and Printing an Invoice

To view and/or print an invoice, click the View Invoice PDF icon in the Actions column of the table. A new tab will open in your browser with a PDF of the invoice. You can download or print it from here.


Send an Invoice

To send an invoice, click the Send Invoice icon in the Actions column of the table. A popup window will appear. Type a message to include in the invoice email and click the Send Invoice button. The message and invoice will be sent to the customer along with a link to pay it on All-Star Rec Manager.


Copy Link to an Invoice

To copy a link to an invoice, click the Copy Link icon in the Actions column of the table. This link will allow the customer to pay the invoice on All-Star Rec Manager.


Deleting an Invoice

To delete an invoice, check the box next to the record in the table and click the Delete icon below the table. A popup window will appear to confirm you want to delete it, and if so, click Delete. Once deleted, the record cannot be recovered.


Note: When you delete an invoice record, the receivables on the invoice will disconnect from the invoice, allowing you to add them to another invoice.
