Congratulations on choosing All-Star Rec Manager! We hope you will find this software to be an invaluable piece of running your figure skating organization.
Getting started with using a new piece of software can feel daunting and overwhelming. This guide will step you through everything you need to get started on the right foot!
Navigate to the League Settings page and verify that your league has already been added. If it has not, you will need to manually add it.
The preferences page contains functionality to customize features in All-Star Rec Manager. Start on the General tab and review the following preferences.
In the Account and General Preferences sections, verify the information is correct.
In the Accounting Codes section, set up your GL accounting codes.
In the Financials section, set the Default Payee and Default Code for Credits.
In the Payment Methods section, set up the payment methods you want to use for tracking purposes.
To process credit cards, you will need to connect a Square account to All-Star Rec Manager. Click here to read more about setting up credit card processing.
Next, click on the League tab to edit the league preferences.
In the General Preferences section, verify the information is correct.
In the Game Types section, set up your "Game Types." Games is the same thing as events.
In the Positions - Official section, you can set up various positions you may want to schedule for events. For example, you may want to schedule coaches to be at each practice.
In the Positions - Team section, setup the various team positions for which people can register. This is important when setting the amount people pay to participate since you can set a different amount per position.
One of the first tasks you may want to complete is adding more administrators to your account. You can do this on the Participants page. This page serves as your contact database within the organization. Click here to read more about the Participants page.
The locations page contains functionality to add various locations where you host events. A location is the physical place where the event occurs. For example, a recreation center could be a location. Each of the facilities at the recreation center would be resources. Prior to setting up calendar events, you will need to setup at least one location. Click here to read more about setting up locations.
The resources page contains functionality to add resources to your locations. A resource is a specific venue or room at a location. For example, a recreation center location may have an ice rink and gym. These would be resources at the location. Prior to setting up calendar events, you will need to setup at least one resource. After you have set up some of the basics, you may now want to begin accepting registrations. Navigate to the League Settings page, Seasons tab, and add a new season. As you're adding the season, you'll have the option to create a team registration form and the option to create a participant registration form. Since most groups are only using the participant registration form, we'll focus on that one here. Toggle the switch on to see additional options including setting the default participant fees and setting up coupon codes.
After you have added a season, you'll need to add at least one division by clicking on the Divisions tab and adding it. Once a division is added, click on the Teams tab and create a team. You have the option to customize the registration fees per team in these settings.
Now that you've created a season, division, and team, navigate to the Forms page, Forms tab and click on the participant registration form that was created when you created a season. Review the form settings, add additional form fields, and customize the confirmation message. Click here for additional information on building forms.
When participants register, they will be added to your contacts on the Participants page. You are able to view and edit the submission on the Forms page, Submissions tab. You can manage the team rosters on the Rosters page.
The participant registration forms that are generated when you create a season have the option to require payment on the form. The alternative is that participants can register on the form, but make a payment separately. To get a link to the Make a Payment page, navigate to the Website page, click the Links tab, and add a link to the table. You will then be able to copy the link. To add events to your schedule, navigate to the Games page. You can work off of either the Games Calendar or Games Table tab to add games. Unless you're scheduling a match between two teams, you will only need to use the Home Team field to add the specific team that is scheduled to use the ice during that time. To check in participants at games, navigate to the Scoresheet page. From the games drop-down menu, select the game and click Load Game. Then open the Quick Links menu and click Check-in. Follow the prompts to load the check-in page.
You may offer classes to the community, or hold competitions where you require registrations. These registrations can either be set up under separate seasons or by selling tickets.
In some cases, you may want to sell punch cards, such as for freestyle skates. It is recommended to set up the punch cards as Memberships. You can then create a product category for Freestyle Skates and create Products for each freestyle skate that you can offer as a benefit on the membership. Skaters will need to individual purchase tickets to the freestyle skates, but with the punch card, will be able to purchase a set number of them for free. To get a link to your organization's memberships and tickets page, navigate to the Website page, Links tab and add a new link to one of those two pages.
